Crew To Do is built from the booking, so it already knows the dates, the occupancy and what this turnover needs. Print it for the clipboard, open it on a phone, or let each crew member decide. It is the same checklist either way.
It started on a clipboard.
Snows Creek runs three houses in the Byron hinterland, and the cleaner worked from a printed sheet because that is what worked. Hands wet, phone in the car, no time to log anything. Paper never runs out of battery and never needs explaining.
So Crew To Do printed. It still does.
Then hosts asked for the other half. Not because paper had failed, but because some crews already live on their phones, and some hosts wanted to see the room before the guest did. A photo of the made bed settles a question before it becomes a question.
So the list learned to run on a phone as well. The Crew Portal was already there for Arrivals, ShoppoGo and Crew IOU. Crew To Do joined it.
Nothing was replaced. The clipboard still prints. The phone is the same list, from the same booking, with room for photos and a sign off.

Paper prints at turnover alongside the Guest Jotto. Digital opens in Crew Portal, either through the app or a mobile browser, where the crew can tick tasks, add room photos and sign off.
Choose Crew Chooses and both are available, with the same checklist either way, so each crew member can use the format that suits them.
Photos that protect both sides.
A crew member finishes a property and moves on. Two days later something is missing, or a guest says a room was not touched, and it is one person's word against another's.
Room photos taken during the turnover end that conversation before it starts. The crew member has evidence of the work they did and invoiced for. The host can see the property was ready without driving out to check.
Photos attach to the turnover, not to a chat thread, so they are still there when someone needs them.
Where a property runs on paper, the crew member can photograph the signed checklist and upload that instead.
Photos are only taken at turnover, when the property is empty. They are never taken during a stay, so no guest's belongings are ever photographed.
Guest data is purged on checkout day, as always. Room photos are kept for 90 days, long enough to cover an invoice cycle and any dispute that follows it, then deleted.
Getting your crew in.
You invite them. They accept, and that creates their account. It happens once, before the first clean, not in a doorway with a mop in one hand.
After that they scan a QR code or follow a link and they are in. Sign in is a passkey, so on their own phone it is a fingerprint or a face. If they are on a borrowed phone or a different device that day, a one-time code goes to their email instead.
The Crew Portal runs in any mobile browser. There are apps on the App Store and Google Play for crews who would rather have an icon.

For estates and multi-property teams
One list for cleaning. Separate lists for everyone else.
Villas need more than a cleaner. Gardeners, pool techs and maintenance crews get their own Crew To Do, built from the same booking data, so nobody wades through tasks that aren't theirs.
